We pride ourselves in being able to meet your catering needs. The following steps will help you through the process of organizing your special function.
The location of your special event needs to be confirmed before we will deliver your catering order. To reserve a room for an event, please contact the appropriate party listed at www.du.edu/eventplanner. When making the reservation with your Event Manager / Building Manager, please include tables, chairs, trash cans, audio/visual, etc. that your event requires – this includes tables for food and beverage setup.
*All clients are responsible for ensuring that rooms are unlocked prior to setup and that tables for catering are provided.
At least five (5) business days prior to the event, contact a Catering Sales Associate at 303-871-7451 or email us at catering@du.edu. You may also download an order form through our website and fax it to our office at 303-871-2233.
We also invite you to arrange an appointment and thoroughly discuss your event in detail with our Catering Team. The office hours are Monday through Friday, 8:00 AM to 4:30 PM, closed on some holidays.
After we have finalized all the details of your special event, you will receive a confirmation via email to be reviewed. Please reply via email with your approval or updates. All cancellations and final changes, including the guest guarantee count, MUST be given at least three (3) business days prior to your function. If you do not contact us with a final count within the three (3) business days allotted, we will prepare for the estimated number of guests and charge accordingly.
Your event confirmation will include the guest guarantee count, exact times of the event, the location, menu choices and room setup. Again, the emailed confirmation reply is required back to us three (3) business days before your catered event. If your event is cancelled, you are responsible for contacting the Catering Department and canceling the event. You will be liable for 100% of your food bill for any event that is not cancelled within three (3) business days. If the University of Denver is closed due to inclement weather, all catering events will be automatically cancelled.
Clients are subject to a $25.00 late charge when new orders are placed less than TWO (2) business days before the event.* Please note, we can not guarantee we will be able to accommodate any last minute changes or additions.
* There are no late charges when using the Pioneer Deli Next Day Service.
All alcoholic beverages provided by the client at a Sodexo managed event, must be served by our personnel and consumed in designated areas according to the Risk Management Department. Sodexo holds the exclusive liquor license at the Driscoll Student Center. Proof of age will be required (only a state issued I.D. or valid Driver’s License will be accepted). The Catering Staff reserves the right to refuse service of alcoholic beverages to any person. All of our Catering Staff members have completed Responsible Alcohol Service Training by ServSafe.
*Please consult with your Catering Sales Associate regarding the liquor policies for each building on campus.
All necessary bar items, except the alcohol, are provided with the Bar Service Fee (see your Catering Sales Associate for prices). This includes ice, mixers, napkins and plastic cups. There is an additional charge for glassware. We recommend at least one bartender for every 75 – 100 guests for beer and wine service. The charge for a bartender is $25.00 per hour with a four (4) hour minimum.
Our catering department provides plastic products made from bio-resins and paperware made from recycled paper as our standard set-up, unless otherwise requested. Both are compostable. We also offer china service for any event at an additional charge.
For additional china and glassware pricing, please consult your Catering Sales Associate. Parties booking with guest counts higher than 250 guests are subject to additional rental fees.
We will provide linens for the buffet and guest tables at no charge. If you would like linens to be placed on tables for registration, name tags, panels, meetings or box lunches there will be a $5.00 fee for each tablecloth. The same applies to any additional tables that will not be directly used for catering setup.
Specialty linens are available upon request for additional charges.
We will be happy to order, receive and handle specific floral arrangements for you. Please consult with your Catering Sales Associate for pricing.
To ensure that your event is a success, catering staff will be provided for all served meals and buffets during the first two (2) hours of service. If additional time is needed, a fee of $25.00 per hour will be applied. We recommend that you have one attendant for every 50 guests.
There are no delivery fees for catering services held on the University of Denver campus. If Sodexo Catering is approved to go off campus there will be a delivery fee assessed at that time.
As the host of the catered event, you are responsible for the equipment we provide for your event. Any missing or damaged catering equipment or supplies will be charged to your account at the replacement cost. In the occurrence of a very large event, specialty equipment may need to be rented. We can provide this for you at an additional charge.
All catered functions must have a secured payment before they occur. Credit card, checks and University Department budget numbers are valid payment methods. Non-University related groups are required to pay 75% of the estimated total ten (10) business days prior to the event date., with the balance due within five (5) business days. Tax exempt organizations are required to submit a copy of their exemption certificate prior to their event date.
Due to health code regulations, it is the policy of Sodexo Catering and the University of Denver that excess food items from events may NOT be removed from the event site.
Our Culinary Team is happy to produce a sustainable and organic menu for your event. We can create fresh and healthy meals using local products that are free of pesticides, hormones and antibiotics. Some items may be limited based on availability. Please plan on paying an additional charge per person.
